Welcome, Sitecorians!👋 Today, I will guide you through how to enable or change the default import/export asset configuration in Sitecore Content Hub, allowing you to export existing assets into an Excel sheet and upload or import your assets through the excel sheet.
Before we start, it’s crucial to understand what the import-export asset functionality entails. This feature supports the transfer of digital assets, including images, videos, documents, and other media files, into and out of Sitecore Content Hub. It is designed to facilitate bulk operations, metadata management, and integration with external systems, enhancing operational efficiency and content consistency across platforms.
Enabling Import Functionality
Note: To make these changes, you should be a superuser or admin.
By default, you upload assets from the Create page. Sitecore Content Hub also provides an "Import with Excel" feature, which lets you upload assets based on the contents of an Excel spreadsheet. The Import Excel operation is not visible by default. If you need it, ask your superuser to enable it for your solution.
To enable the Excel import functionality, follow these below mentioned steps:
1. Log into Sitecore Content Hub: Start by logging into your Sitecore Content Hub instance with your superuser or admin account.
2. Navigate to Manage ⚙️: On the menu bar, click Manage and Search for Pages. You can manage all of the pages in your Sitecore Content Hub from a single location.
3. Select Create Page: Find the "Create" page from the list of pages. Click on "Create" in the left menu. Next, in the header section below the selection area, click on "Edit," just like shown in the image.
4. Enable Export to Excel Toggle: To activate the Export to Excel feature, switch on the toggle in the General Settings. Once enabled, click "Save and Close" to save the changes.
5. Upload Assets with Import Excel: Navigate to the Create page, where you'll notice an added ➕ button and an option to upload or import assets. Select your upload Excel file to add assets into Sitecore Content Hub.
6. Confirm File Structure Before Uploading: Before uploading, ensure that the Excel file you're using for import adheres to a specific structure; otherwise, errors may occur during the upload process. Refer to the provided example Excel file, import-sheet.xlsx, as a valid template for importing.
Enabling Export Functionality
This functionality enables users to export a list of assets and their metadata into a single Excel file. Note that this feature exports metadata only and does not include the physical files themselves.
To enable exporting assets into an Excel sheet, follow these steps:
Note: In the import Excel sheet, because FinalLifeCycleStatusToAsset was set to "M.Final.LifeCycle.Status.Approved", the uploaded assets will be visible in the Assets section after a successful import.
1. Navigate to Assets: Navigate to the Assets module within Sitecore Content Hub, where all stored assets are displayed.
2. Selecting and Exporting Assets: Choose the assets you wish to export, then click on the "Export to Excel" option. You'll be directed to the next screen to provide a file name for the export.
3. Download the Export File: Upon completion of the export process, Sitecore Content Hub sends an email notification from noreply@marketingcontenthub.com with a download link for the Excel file.
